Privacy & AI Policy
This policy covers Genuine School Portrait Co., a DBA of Selah Photography LLC (“Genuine,” “we,” “us”). It explains how we handle information for school portraits, class photos, yearbook images, ID cards, and photo orders, and what software we use to edit photos.
1. Information We Collect
- Student information: name, grade, classroom or teacher name, school name, whether the student may be photographed, and portrait images. If your school orders ID cards, we also receive the details printed on them, such as a student ID number.
- Parent and guardian information: name, email address, phone number, shipping address, billing name and address, and order history. Payments are handled by our gallery platform’s payment processor. We never see or store your full card number.
- School information: school contacts, administrative details, and communication preferences.
- Website and gallery information: when you visit our website or online gallery, we may collect technical information such as browser type, operating system, IP address, and pages visited, through cookies and similar technologies.
2. How We Use Your Information
- To photograph students and match each photo to the right child
- To open private galleries and process orders for portraits and related products
- To communicate with parents, guardians, and schools about orders, photo days, deadlines, and important updates
- To send gallery and deadline reminders by email or text, if you sign up for them
- To deliver yearbook images, class photos, and ID cards to the school
- To provide customer service and support
- To improve our website, services, and customer experience
- To send promotional emails, only if you have opted in
- To keep records needed for our business and the law
3. AI & Photo Editing
A photographer takes every portrait with a real camera. We use editing software with AI features to speed up routine work across hundreds of photos. A person on our team reviews every final image.
The tools we use:
- Adobe Lightroom and Photoshop are our primary editing tools, used for color, exposure, cropping, and retouching. Some of their features use AI, such as selecting the subject or reducing grain. We may use Adobe’s Generative Remove or Generative Fill for small cleanup jobs, like removing a stray hair or something distracting in the background. When a generative tool is used, that part of the image is processed on Adobe’s servers. Adobe states it does not train its generative AI on customer content.
- Imagen learns how our editors set color and exposure and applies those same settings to large batches of photos, so every portrait looks consistent. It builds a private editing profile for our studio, and photos are uploaded to Imagen’s secure servers (Amazon Web Services) for this. Imagen’s policy says it does not use customer photos for anything else without the customer’s explicit consent.
- GotPhoto runs our private online galleries and checkout. We match photos to students using the school’s class lists, not by face. We do not use GotPhoto’s facial-recognition tagging.
What we use AI-assisted editing for: sorting out blinks and blurry frames; color, brightness, and white balance; cropping and straightening; removing background distractions; light retouching; and quality checks before the gallery opens.
What we never do:
- Use facial recognition, biometric identification, or profiling on students
- Use identifiable student photos to train a public, shared, or general-purpose AI model
- Generate a fake portrait, or change how a child looks in a misleading way
- Use any student photo, AI-edited or not, in our marketing without a parent’s written consent
AI-assisted editing is a standard part of our process and is how we deliver consistent, high-quality portraits for every student. It isn’t available as an opt-out.
If our software changes, we’ll switch only to a tool with similar protections for privacy, ownership, and AI training, and we’ll update this policy. Schools can request our current list of tools at any time.
4. What We Never Do With Your Information
- Sell, rent, or trade student or family information
- Use school-provided information for unrelated advertising
- Post an identifiable student’s photo on our website, social media, portfolio, or ads without written consent from that student’s parent or guardian
5. Sharing Information
We share information only with people and companies who need it to deliver your photos, and only for that purpose:
- Your school: yearbook images, the class photo, and ID cards
- GotPhoto: our gallery, ordering, and checkout platform
- Photo labs, payment processors, and shipping carriers: to print, process, and deliver your order
- Editing software providers: Adobe and Imagen, as described in Section 3
- Our photographers and editors: employees or contractors who need access to do their work
- Authorities: only if required by law, such as a court order or legal process
Everyone we work with must keep your information confidential and secure, and may use it only to provide their service to us.
6. How We Keep Galleries Private
- Each student’s gallery is protected by its own access code. The school gives codes only to that student’s family.
- Class photos are available to parents as prints only, so group photos of other children aren’t shared as digital files.
- If an access code is shared by mistake or a photo is assigned to the wrong student, we can turn off that code and issue a new one. Tell us or your school right away.
7. How We Protect Your Information
We use reasonable administrative, technical, and physical safeguards to protect your information from unauthorized access, disclosure, alteration, or destruction, and we limit access to people who need it. No system is perfectly secure. If we confirm a security incident involving student information, we will notify the school without unreasonable delay and give any notices the law requires.
8. How Long We Keep It
Galleries stay open during the school year and are archived in June after it ends. We keep information and photos only as long as reasonably needed to run the photo program, store the archive, meet legal and tax obligations, resolve disputes, and keep normal business records.
9. Children’s Privacy
We understand how important it is to protect children’s privacy. We collect student information only through our partnerships with schools, or with a parent or guardian’s involvement, as part of providing portrait services. We do not knowingly collect personal information from children without the involvement of a parent, guardian, or authorized school representative.
10. Your Choices
- Access, correct, or delete: you can ask to see, correct, or delete your information by emailing us. We’ll respond within 30 days. Some records must be kept for legal reasons. If we delete a gallery, those photos can no longer be ordered.
- Photo day participation: tell your school if your child should not be photographed. We rely on the school’s list.
- Email and text reminders: if you sign up for notifications, we use your email or phone number only to send those reminders. You can unsubscribe anytime with the link in any message, or by emailing us.
- Marketing emails: you can opt out anytime with the unsubscribe link in any email, or by contacting us.
- Marketing photos: we’ll always ask before using your child’s photo in our marketing. Saying no doesn’t affect your order.
11. Cookies
Our website and online gallery use cookies to keep you logged in, remember your cart, and understand how the site is used. You can control cookies in your browser settings, but turning them off may stop some features, like checkout, from working.
12. Changes to This Policy
We may update this policy from time to time. If we make a significant change, we’ll update the effective date at the top and may post a more visible notice. Changes that affect student information will be shared with our partner schools.

Terms of Sale
These terms apply when you order photos from Genuine School Portrait Co. Your school’s gallery shows its own dates, prices, and any minimum order. If the gallery and these terms differ, the gallery’s school-specific details apply.
From photo day to delivery
- Photo day: students are photographed at school.
- Gallery opens: usually within 3 weeks. You’ll get a private access code for your child’s gallery.
- Retake day: usually 1 to 2 weeks after galleries open.
- Standard pricing ends: prices are standard for the first 4 weeks the gallery is open. After that, prices go up, typically by 25%.
- Gallery archived: in June after the school year. Orders after that aren’t guaranteed and may cost extra.
Retakes
Retakes are for real problems, not for picking a different look. A student qualifies for a retake if they:
- Were absent on photo day
- Weren’t emotionally ready to be photographed
- Had a temporary blemish or injury that clearly affected the photo
- Wore clothing that wasn’t right for a portrait, like pajamas or very dirty clothes
Prices, taxes, and shipping
- Prices are listed in your gallery. Sales tax and shipping are added at checkout.
- You can have your order shipped to your home at the rate shown at checkout. Some schools also offer delivery to the school, which usually arrives 1 to 2 weeks after the gallery closes.
- We may run promotions from time to time. Promotions aren’t guaranteed and don’t apply to past orders.
Damaged prints and refunds
- If a print arrives damaged or defective, email us within 30 days of delivery and we’ll replace it for free.
- Sales are otherwise final, including digital downloads. We don’t give refunds because you changed your mind or prefer a different pose.
- If a photo or product is lost, damaged, or unusable because of something within our control, we will retake the photo, replace the product, or refund what you paid for that item.
Using digital files you buy
When you buy a digital file, you get a personal-use license. You may print it, share it with family, and post it on your personal social media. You may not sell it, use it commercially, or enter it in contests. Genuine keeps the copyright to all photos.
Limits
To the extent the law allows, our total responsibility for any order is limited to what you paid for it. We aren’t liable for indirect or consequential damages. These terms are governed by Colorado law.
